POSITION: Inventory Associate


REPORTS TO: Executive Director


STATUS: Part time (hourly) 24-28 hours/week (Monday,Tuesday and Thursday full days, potential for Wednesday on as needed basis at half day)



This position is primarily accountable for order generation, processing of invoices to member agencies and on-going inventory maintenance for both in-coming and outgoing products.  




  1. Coordinate the receipt and recording of weekly orders from member agencies.    

  2. Give weekly order sheets to the warehouse manager for order picking & staging.    

  3. Generate invoices from the weekly order sheets using inventory accounting software.  

  4. Assist the Warehouse Manager in tallying the inventory levels for a weekly reconciliation and troubleshooting any discrepancies.  

  5. Coordinate and place food orders from Vendors, Feeding America and other food banks.  Coordinate food procurement in relation to holidays.  All food orders must be confirmed by Executive Director.

  6. Assist in the receipt of incoming food deliveries.  This includes verifying product to the bills of lading for order reconciliation and inspection for possible damaged items.    

  7. Assist the Warehouse Manager to ensure proper labeling of food pallets for proper rotation following “First In/First Out” (FIFO) inventory handling guidelines.  

  8. Coordinate placing  food orders for special programs. 

  9. Work with various member agencies in scheduling their pick-up dates and times.  

  10.  Generate & maintain various inventory system reports.   

  11. Perform various office tasks as assigned. 

  12. Perform various warehousing tasks as assigned.  

  13. As needed, assist with various fund-raising and volunteer activities. 



  1. Associate Degree preferred.

  2. Two or more years experience in inventory/warehousing functions.  

  3. Ability to use a personal computer, job-related software programs and  general office equipment.

  4. Proficient verbal and written communication skills.

  5. Must be trained in food safety and back safety supplied by the Community Food Warehouse.
